Fees applicable for the fiscal year 2006-2007
Nonprofit events are those organized by a nonprofit organization. A tax status certificate must accompany the outside organization’s reservation form showing the organization’s nonprofit status .
Overnight surcharge
Any event over an eight hour period and any overnight event will be charged at 150% of the appropriate rate. This surcharge covers the use of the building beyond the normal workweek.
Setup/Take down time
Event organizers must include in their contracted hours of rental sufficient turnover time for setting up and taking down of events. Typically, this means 1.5 hours prior to and 1 hour after the event. Access to the rented room will not be permitted until the time for which it is contracted.
Refundable Security Deposit
For non-UCB groups paying by check, a deposit will be required as collateral against cleaning fees or property damage. The deposit is 50% of total room rental fees and should be paid with a separate check so that it can be returned.

Proof of insurance must be provided before a reservation can be confirmed. Insurance can be purchased through the Risk Management Office. Please call (510) 643-9318.
Catering insurance
All non-campus caterers must add UC Regents as an Additional Insured and fax a copy of the declaration page to the Room Reservation Coordinator at (510) 642-4700.
Fire Permits must be obtained for BBQ’s or other uses of fire, such as hotplates or candles. Please contact the Fire Marshall at (510) 643-5809 or (510) 643-8373.
Alcohol permits
Events having alcohol must fill out an Alcohol Permit and have it approved by Facilities Department Manager. No alcohol may be served at a student event without a faculty sponsor. Alcohol permits can be obtained from UCPD as well as the Room Reservation Coordinator.
Parking Permits can be obtained through the Parking and Transportation Department. Please call (510) 642-4283.
Liability
The sponsoring organization renting the facility is responsible for:
- Any damage to the building, equipment, and/or furnishings caused by persons attending the event
- Enforcing UC Berkeley alcohol guidelines and smoke-free policy
- Restoring the facilities to their original state after the event
Classroom Reservations
Monday through Friday, campus and Haas class scheduling have priority over Haas classrooms, including Andersen Auditorium. Scheduled class courses will be finalized after the add-drop date of each semester (about the fourth week of semester). After this date, the EMS system (http://ems.haas.berkeley.edu) will be open for staff, faculty, MBA, PH.D, and Undergraduate sponsored student organizations to make their own room reservations, up to thirty days in advance, Monday-Friday.
Please contact Room Reservation Coordinator for the following classroom reservations: weekend, more than 30 days in advance, and prior to the add-drop date. All class courses must be finalized before any reservations can be confirmed.
Conference Room Reservations
Reservations for rental of the Wells Fargo Room, Bank of America Forum and Haas Courtyard can be made up to 6 months in advance.
Due to class scheduling, reservations for the Andersen Auditorium cannot be confirmed until the 4th week of each semester.
No food or drink is allowed in the Andersen Auditorium. For Andersen events that require pre-registration and/or catering, the Bank of America Forum must be reserved in conjunction with the Auditorium. The catering carts located in the corner of the Forum belong to Jimmy Beans' cafe and are off-limits. When using the Forum, please be careful not to block any walkways, stairways, or doorways with furniture, tape, or other barriers. Failure to comply with this important safety regulation may result in loss of reservation rights.
Reservations are confirmed and guaranteed only upon receipt of all applicable forms and fees. These must be turned into the Room Reservation Coordinator at least two weeks prior to an event.
All reservations require written cancellation.

Cancellations made less than 30 days before the event will result in the forfeiture of the entire rental fee.
Cleaning, Maintenance, and Set-up Fees:
All groups are expected to return the facility to its normal condition at the conclusion of the event. If extraordinary cleaning/repair is deemed necessary, the additional vendor contractual fees will be recharged to the event organizer/sponsor. If additional cleaning is anticipated please submit cleaning request to fixit@haas.berkeley.edu. Please note: Organizers of conferences and large events (at the discretion of the Facilities Department, but generally including any events that will have at least 200 hundred attendees, use multiple spaces/rooms at Haas, and/or involve catering or other foodservice) are required to submit an official request for cleaning by campus custodians, and may not opt to assume personal responsibility for cleaning. Cleaning fees will be billed accordingly. Any debris abandoned after the event will result in loss of security deposit.
- Wells Fargo Room: The Wells Fargo kitchen floor must be swept and mopped, all the counters and tables tops wiped off and the sink washed out, if necessary. Garbage and recycling must be taken to the trash enclosure at the Faculty Building loading dock, accessible from the B of A Forum 3rd floor double doors.
- B of A Forum and Courtyard : After your event all trash must be removed from the floor or ground. Trash must be emptied in the trash enclosure on the Faculty Building loading dock – accessible from the B of A Forum 3rd floor double doors. These areas must be cleaned at the end of your event as they are public areas.
- Arthur Andersen Auditorium: No food or drink is permitted in the Arthur Andersen Auditorium. After your event all trash must be removed from the floor. Trash must be emptied in the trash enclosure on the Faculty Building loading dock – accessible from the B of A Forum 3rd floor double doors.
- Classrooms: After your event all trash must be removed from the floor and surfaces. Trash must be emptied in the trash enclosure on the Faculty Building loading dock – accessible from the B of A Forum 3rd floor double doors.
Pick up keys for events during key hours (Room F514, M-F 9am-4pm) the day of your event or at the earliest, the day prior to the event. Keys must be returned after the event or the next business day.

For a list of authorized caterers, please contact the Room Reservations Coordinator at (510) 643-0475 or roomres@haas.berkeley.edu. It is important that the caterer is determined at least two weeks in advance. Please note that a non-authorized caterer will need to add UC Regents as an additional insured on their liability insurance before they can be authorized to serve food at an event at the Haas School.
The Wells Fargo Room closet includes 119 black plastic chairs, 14 small round tables (seat 5), and three rectangular tables (seat 8). Additional tables and chairs for classrooms, Anderson Auditorium, and Bank of America Forum can be requested from Campus Movers.
If additional furniture is needed or assistance with setup/break down, contact Campus Movers at (510) 643-6262. There is a charge for all services provided by Campus Movers.
No signs, banners, posters or decorations may be nailed, tacked or affixed in any way to the interior woodwork of Wells Fargo, Andersen Auditorium, B of A Forum or classrooms. Banners must be draped on a table. Only approved adhesives may be used to affix signs to the wall. These adhesives may be obtained from the Room Reservation Coordinator in room F514. All other adhesives will cause damage to the wall and will result in the forfeiture of your deposit.
Waivers of rental fees may be extended to functions hosted by the office of the Chancellor and the UC President when they are personally in attendance at the event.
All reservations are revocable in cases of space-planning emergencies, as determined by the dean’s event subcommittee and classroom scheduling.
Haas reserves the right to refuse future rentals to organizations that do not comply with these policies.
